If you're a hardware brand paying for a helpdesk, a warranty tool and a guides tool, Docutize does the work of all three on one plan. For a team of five, that's $149 a month. Zendesk and Claimlane together come to more than $1,000 a month at October 2026 list prices, before you add guides or AI.
Docutize isn't the right pick for every team, and there's a section near the end on when it isn't. Prices for the other tools come from their public listings in October 2026. They change, so check them before you decide.
What the usual stack looks like
Most hardware brands don't choose their after-sales setup. They collect it, one tool at a time. Each tool is fine alone. Together they mean four bills, four logins, and a customer who exists in four places and isn't complete in any of them.
A helpdesk and its AI
Usually Zendesk or Intercom. Strong inboxes and channels, built for any kind of business. That's the catch for hardware. A product, a serial number or a warranty period is a custom field you set up and keep maintaining.
A warranty or returns tool
Claimlane is a common example. It runs the claim well and has its own ticket inbox for claims. Your help center and the rest of your support still live in another tool, though, so your team switches tabs to see both halves of the same customer.
A guides tool
Dozuki is the best known for step-by-step repair guides. Good authoring, kept apart from your help center and your claims.
An AI chat add-on
Usually priced per resolution on top of seats. And usually trained on a help center you still have to write and keep current yourself.
Feature by feature
| What a hardware brand needs | Docutize | Helpdesk with AI | Warranty tool | Guides tool |
|---|---|---|---|---|
| AI answers from your own manuals, with sources | Yes, and it says so when it doesn't know | Add-on | No | No |
| Warranty cover checked per part, against the registered product | Yes | Custom setup | Yes | No |
| Claim form with photos and video, in your brand | Yes | Basic forms | Yes | No |
| Shared inbox with the customer's orders, products and claims beside it | Yes | Inbox only, orders by integration | For claim tickets only | No |
| Customers reply by email, in the same thread | Yes | Yes | Varies | No |
| Shipping labels and courier files from the claim | Yes, Shippo or a CSV or Excel file | No | Varies | No |
| Step-by-step guides with photo markup | Yes, in your help center | Articles only | No | Yes |
| Claims by product, part and reason | Yes, on every plan | Support metrics | Yes | No |
| One customer record across all of it | Yes | Partly | No | No |
Look down each column and you'll see the pattern. Every other tool does its own rows well. The rows only connect through integrations you set up and keep an eye on.
In Docutize they're one product reading from the same products, orders and customers. So a claim knows the customer, the chat knows the claim, and the guide the customer needed is linked from the reply.
What it costs for a team of five
Five people answering customers is what Docutize's Growth plan includes, so that's the comparison here.
| Monthly | Docutize Growth | The usual stack |
|---|---|---|
| Five seats | Included | About $55 each on Zendesk Suite Team, billed annually: about $275 |
| Warranty claims | 500 a month included | A warranty tool, from $800 a month for Claimlane Core |
| Step-by-step guides | Included | A separate guides subscription |
| AI chat for customers | 100 resolutions included, then 99¢ each | Around 99¢ to $2 per resolution, from the first one |
| Total | $149 a month, or $1,490 a year | More than $1,000 a month before guides and AI |
Need more people? Extra Docutize seats are $29 each. A smaller team can start on Starter at $49 a month for two seats and 100 claims. Scale is $399 for ten seats and 2,500 claims.
There's no per-agent price that climbs every time you hire, and you don't pay extra to see your own analytics. A big helpdesk's seat price can look low next to that. It stops looking low once you add the other tools you still need. Compare the whole after-sales job, not one line of it.
When Docutize isn't the right choice
Docutize is built for brands that make physical products and answer customers by email and a help center. Look elsewhere if:
- You run a phone line or a large contact centre with voice, social and chat across dozens of agents. Zendesk and Intercom are built for that.
- You mostly sell software, with no warranty, parts or repairs. A general helpdesk will fit better.
- You need a returns and exchanges portal for fashion volumes. That's a returns platform's job.
For everyone else, it comes down to this. Do you want four tools you have to connect, or one that already is?
How to compare it yourself
- List every after-sales tool you pay for today, with seats. Include the ones the team signed up for without telling anyone.
- Replay your last twenty claims. Count the tabs you opened and the questions you had to ask the customer twice.
- Ask each vendor what the AI costs at your volume and what it learns from. If it needs a help center written first, price that time in.
- Try a claim for a part that's out of warranty. A tool that can't flag that on the claim leaves the call to a person every time.
Docutize is for brands that want one place for all of it. See the plans, or walk through the product.
