Legal
Last updated 5 November 2026
Draft: this text is waiting on its legal review, and the highlighted details are still to be filled in.
This policy explains what personal data Docutize collects, why, who we share it with, how long we keep it and your rights. It covers our website (docutize.io), the Docutize dashboard, and the help centers we host for companies at company-name.docutize.io.
Using a company's help center? Start with Our two roles.
Docutize is a trading name of [Company legal name], a company registered in [country] (company number [number]), registered office [address]. We're registered with the Information Commissioner's Office (ICO), number [ICO registration number].
For anything about your data, email hello@docutize.io [or a dedicated address such as privacy@docutize.io].
[EU representative under Article 27 of the EU GDPR, if one is needed]
We're the controller for data about:
We're a processor for data about end users - the people who use a company's help center at company-name.docutize.io - and for anything else a company puts into Docutize. The company decides what it collects and why; it's the controller, and we act only on its instructions, under our Data Processing Agreement.
Each help center has its own privacy notice, from the company that runs it, at company-name.docutize.io/privacy and linked in the help center's footer. Docutize generates that notice for the company from its settings, unless the company links its own - but it's the company's notice: the company is the controller for its customers' data and is responsible for what the notice says.
Read that notice, and contact the company first about your data - it can see, export, correct and delete it. If you contact us instead, we'll pass your request to the company and tell you we've done so. Data we process for companies shows what a company can collect through Docutize; what a particular company collects depends on its settings.
We use this to provide the dashboard, keep accounts secure, send service emails (invites, new tickets and replies, mentions, assignments, new claims, deletion requests, trial and storage reminders, security notices) and give support. We don't send marketing emails from the app; the waitlist's one email goes only to people who joined it.
Creating an organisation means agreeing to our Terms of Service and Data Processing Agreement on the company's behalf; owners and admins accept new versions when they change materially. Each time, we record:
We keep these as evidence that the contract was made and on what terms, and to establish or defend legal claims. The company's owners and admins can see its records. They're kept after the organisation is deleted, and removed six years after the account closes.
We process this only to provide Docutize to the company, on its instructions. We don't use it for our own purposes, sell it or use it for advertising. Depending on how a company uses Docutize, it can include:
Claim checks flag things for the company's team - for example, when the IP address's country differs from the delivery country, or a serial number appears on more than one account. They're prompts for a person to look at; neither Docutize nor the checks decide a claim.
Emails about your account, claims, registrations and requests are sent by Docutize in the company's name.
For the data we control, we rely on:
| Purpose | Lawful basis |
|---|---|
| Providing the dashboard: accounts, sign-in, service emails, support | Contract (where you signed up yourself) and legitimate interests (providing the service your organisation signed up for) |
| Billing and accounting, including company details on invoices | Contract; legal obligation (tax and accounting records) |
| Knowing who our contract is with, and sending notices, from company details | Legitimate interests (managing our contracts with customers) |
| Showing a company's details in its help center's privacy notice | Legitimate interests (helping the company tell its customers who it is and how to contact it, as it has chosen) |
| Recording who accepted our Terms and Data Processing Agreement, for which company, and when | Legitimate interests (keeping evidence of our contracts); establishing, exercising or defending legal claims |
| Replying to enquiries | Legitimate interests (answering you), or steps before a contract |
| Keeping your email on our waitlist, and telling you when Docutize opens to new companies | Consent - you asked us to tell you |
| Recording which page, ad campaign or website brought someone to the waitlist | Legitimate interests (knowing which of our pages and ads work) |
| Noting on the waitlist when someone who joined it signs up, and keeping a record of the consent they gave | Legitimate interests (knowing whether the waitlist leads to customers, and being able to show consent) |
| Security, abuse prevention, rate limits and logs | Legitimate interests (keeping the service and its users safe) |
| Running and improving the service from usage information | Legitimate interests |
| Counting visits to docutize.io and the dashboard, and measuring how fast their pages load, with Vercel Web Analytics and Speed Insights | Legitimate interests (knowing which pages people use and how well they work, to improve our website and the product) |
| Meeting legal duties and handling legal claims | Legal obligation; legitimate interests |
We rely on consent only for the waitlist. You can withdraw it at any time by emailing hello@docutize.io, or with the link in our email when Docutize opens, and we'll delete your entry. For end-user data, the company chooses the lawful basis.
We send only what a task needs: the question or request, relevant excerpts from the company's documents, recent messages in a chat, which help-center page a chat message was sent from, and - for support and warranty features - the relevant ticket thread, claim answers or customer history (which can include names, products, serial numbers and orders). We never send passwords or payment details.
A photo sent in a help center's AI chat, made again without its metadata, goes to Anthropic on the turn it's sent, at most twice: once to describe it in a few words for search (the model is told not to describe people) and, when the company's documents have an answer, once with the question. After that, only the description goes with the conversation. Videos are never sent to AI.
| Provider | What they do | Where | Help-center visitors' data |
|---|---|---|---|
| Supabase | Database, sign-in and file storage | United States (AWS us-east-1); its service logs in the EU | Yes |
| Vercel | Hosting and running the service (runtime logs, which include IP addresses, kept for a day); approximate location from IP addresses - for signals, and to fill in the country on claim forms that ask for one, kept only if the form is sent | United States, and other locations through its global edge network | Yes |
| Anthropic | AI answers, chat, reply drafts, summaries and parts extraction; suggesting which product an item belongs to; subjects for new help-center requests, written automatically; and suggested changes to a claim when an end user asks for one, from the claim's answers (which can include name, email and phone) | United States | Yes |
| Voyage AI | Turning text into embeddings for search. Docutize has opted out of Voyage AI's training, so what Docutize sends is deleted once processed | United States | Yes |
| Resend | Sending emails (Resend keeps their content and logs for 30 days, and its backups for 7 days) | United States | Yes |
| Cloudflare | Bot checks (Turnstile) on sign-in, sign-up, password reset, contact and waitlist forms. Cloudflare also uses the check's signals (the IP address, browser and connection details) to improve its bot detection, as a controller in its own right | Global network; Cloudflare, Inc. is in the United States | Yes |
| Stripe | Payments and billing for Docutize's customers (no help-center visitors' data) | United States and other countries where Stripe operates | No |
For the data we control, these providers are our processors. The waitlist reaches Supabase (which stores it), Vercel (which runs our website), Cloudflare (the bot check on its form) and Resend (which sends the email when Docutize opens).
How the AI providers use data is under How AI processes data. We tell our customers before adding or replacing a subprocessor (see our Data Processing Agreement).
Our database and file storage run in the United States (Supabase, on AWS us-east-1), and so does our application (Vercel) - though requests also pass through Vercel's global edge network, so some of that processing happens in other locations. Our other providers process data in the United States - though Cloudflare's bot checks run across its global network, and Stripe also works in other countries where it operates - and Supabase processes its service logs in the EU. So personal data from the UK and EEA is transferred to the US, and elsewhere.
We protect these transfers as follows. Each provider's data processing agreement is part of its terms, which we've accepted.
| Provider | How the transfer is protected |
|---|---|
| Supabase | The EU Standard Contractual Clauses, with the UK Addendum, in its data processing agreement |
| Vercel | Its certification to the EU-US Data Privacy Framework and its UK Extension (the UK-US data bridge), and the EU Standard Contractual Clauses, with the UK Addendum, in its data processing agreement |
| Anthropic | The EU Standard Contractual Clauses, with the UK Addendum, in its data processing agreement (Docutize's contract is with Anthropic Ireland, Limited) |
| Voyage AI | The EU Standard Contractual Clauses, with the UK Addendum, in its data processing agreement; its parent company, MongoDB, is also certified to the EU-US Data Privacy Framework and its UK Extension |
| Resend | Its certification to the EU-US Data Privacy Framework and its UK Extension (the UK-US data bridge), and the EU Standard Contractual Clauses, with the UK Addendum, in its data processing agreement |
| Cloudflare | Its certification to the EU-US Data Privacy Framework and its UK Extension (the UK-US data bridge); should that stop applying, the EU Standard Contractual Clauses, with the UK Addendum, in its data processing agreement |
| Stripe | [confirm Stripe's transfer mechanism] |
Ask us at hello@docutize.io for details or a copy.
| Data | How long |
|---|---|
| Team member accounts | While you're in an organisation. Being removed from a team, or the organisation being deleted, ends your access but keeps your login - ask us to delete it. |
| A company's content (documents, products, forms, settings) | Until the company deletes it, or deletes its organisation. A company that doesn't subscribe has its organisation deleted 30 days after its trial ends, or 90 days after its paid plan ends. |
| End-user accounts and their data | Until the account is deleted (by the company, or at the end user's request confirmed by the company), or the organisation is deleted. |
| After an end user's account is deleted | Deleted: account, login, address, email-change history, registrations, chats, guide comments and votes, files (evidence, proofs, attachments, chat photos and videos, comment images), AI drafts and summaries, notes and signals. Kept as the company's records, shown as "Deleted customer": claims and change requests without contact details (email, phone, address apart from country, serial and tracking numbers; emails and phone numbers typed into answers are removed, but names or addresses typed in free text may stay), and tickets without any message text. Kept for [retention period for anonymised claims, e.g. six years]. |
| Orders a company imports | Until the company deletes them or undoes the import. They aren't removed with an end user's account. |
| Help-center AI chats | 12 months after the last message, with the hashed IP address kept on each one - or sooner, if deleted by you (chats saved to your account) or by the company. A chat handed on to the company's team is copied into the support request, and kept with it. |
| Help-center chat photos and videos (and the AI's description of the photos) | With the chat they were sent in: 12 months after its last message, or sooner if the conversation or the account is deleted. Files handed on to the company's team - with a message to the team, or the newest 10 of a chat passed on - are attachments of the support request from then on, and kept with it. |
| Guide comments | Until the end user's account, the guide or the organisation is deleted. A deleted comment is hidden from the public, and its images are removed - within a day if its author deleted it, or 30 days later if the company's team did (it can restore it until then). The team can still see a deleted comment's text. |
| Courier export files | The rows of a file a company exported for its courier (names, addresses, phone numbers, what was sent): 90 days, to download again - or until the end user's account is deleted. The record of the export (which claims, when, by whom) stays with the company's account. |
| Shipping labels | The label file (and a parcel's customs invoice) and the address it was sent to (with the end user's name, phone number and email): 90 days after the label is bought (or the purchase was tried), or until the end user's account is deleted. The record of the label (which claim, the carrier, service, price and tracking number) stays with the company's account, without the tracking number once the end user's account is deleted. |
| Signals | 12 months, or until the account is deleted. |
| Rate-limit counters (hashed IP addresses, or an account ID) | 10 minutes to 2 days. |
| Unfinished uploads (files never attached to a claim, message, chat, comment or document) | 24 hours. |
| Company details (Settings → Company) | While the organisation exists; deleted with it. Invoices and payment records kept as billing records (below). |
| Records of accepting our Terms and Data Processing Agreement | Kept after the organisation is deleted, as the record of the contract; removed six years after the account closes. |
| Billing records | As long as the law requires for tax and accounting [e.g. six years]. |
| Waitlist (your email, when you joined, and what brought you) | Until Docutize opens to new companies and we've emailed you; then deleted within 6 months, unless you've signed up by then. Never more than 24 months after you joined. If you leave the list, your entry is deleted then. |
| Messages to us | Up to 24 months after our last exchange. |
| Visit statistics (Vercel Web Analytics and Speed Insights) | The code that tells visits apart is discarded after 24 hours. The page views themselves, which hold no name, email or IP address, are kept by Vercel for at least 12 months (the period our plan guarantees for viewing them), and Vercel may keep them longer. Speed measurements hold no name, email or IP address either; Vercel shows them to us for 7 days and doesn't publish a fixed period for keeping them. |
| Backups | Deleted data stays in our database provider's backups until they expire, within [backup retention period]. We use backups only to restore the service. |
No system is perfectly secure, but we work to protect your data and fix problems quickly. Our Data Processing Agreement describes these measures in more detail.
Under the UK GDPR and EU GDPR you have the right to:
Please contact us first - we'd like to put things right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. In the EU or EEA, you can complain to your local data protection authority.
Docutize is a business service and isn't directed at children under 16. Help centers are run by companies for their own customers, and each company is responsible for its end users. If you think a child has given us personal data, contact us and we'll deal with it.
We may update this policy. The date at the top shows the latest version. For important changes, we'll tell our customers' owners and admins by email or in the dashboard before they apply.
Email hello@docutize.io, use our contact page, or write to us at [registered office address].
